Overview
This document covers the process of adding printers to the server, configuring/mapping print templates, and other printing options within the Savance Enterprise software.
Adding Printers to Savance
This section will go over how to add your current printers or new printers on the Windows and Savance Enterprise servers to be used in the Savance Enterprise software.
Configure Printer Within Windows Server

The prerequisites for this are to first attach the printer to the network with an ethernet cable, assign the printer a static IP address, and install the printer with the proper driver on the Windows Server that hosts the Savance Enterprise server. Please refer to the printer manufacturer’s manual for instructions on how to accomplish this part, as every printer is different. Using a printer over the wireless network is not recommended, as it can be unreliable and cause printing delays. You can give the printer any name you want, preferably something descriptive of where it is located in the building. It should be displayed in Windows Control Panel like this:

You will want to print a test page to make sure the printer is set up in Windows properly. To do so, right-click on the printer and choose Printer Properties. Hit the Print Test Page button. Make sure that the printout is successful and looks good. If the test page does not print, then the printer will not work in Savance Enterprise. Once completed, the printer is ready to be configured within the software.
Configure Printer Within Savance Server

Open the Savance Server on the Windows Server you just installed the printer on.

A screen will open that displays all the currently active printers configured with the software. Hit the Refresh Printers button. Choose the Local Printers option.

A Refresh Printers box will display on the screen. It will cycle through all the printers available in the Windows Control Panel. Hit the Ignore button until the new printer is displayed. Once it is, then hit the Add New button.

Next, a Printer Details box will display on the screen. You can change the Printer Friendly Name, which is what is displayed within Savance Enterprise. You can also add a description and choose the warehouse that the printer is located in. Hit Save when you are ready to proceed. If any additional printers are displayed on the Refresh Printers screen that does not need to be added, you can hit Ignore All to complete the process.

Now the printer will be displayed on the Available Printers screen along with the rest.
Configure Printers Within Savance Enterprise
This area of the document will go over how to view your printers within the software and how to map your printer templates to specific printers.
Configure Printer Within Savance Server

Once you’ve completed adding all your printers to the servers. Open the Savance Enterprise application. If it is already open, please Log Off and Log On again to load the new printer. The new printer should now be listed on the Printers tab in Administration.

From the navigation go to Admin > Administrator

Within the Administrator, Settings select the ‘Printers’ tab.

Within this tab, you will see all the printers that have been added to the Savance Server and are now available to use. Go through each printer and make sure the printer is enabled, the Printer and Device Name is properly labeled, the correct warehouse is selected, and if you wish to make this a “default” printer.

NOTE: If you have multiple warehouses you will need to go through and make sure you are assigning the correct printer to the correct warehouses. See the screenshot below.

Mapping Print Templates

Now that you have all the printers successfully set up, the next step is to configure and map the print templates. In the Administrator go to the ‘Print Templates’ tab. Each print template available in the system is listed on the left. On the right there are 3 tabs:

The first step is to go through each template provided and select the corresponding document type. Templates are loaded during the implementation process. For the most part, the template description on the left will match what should be selected on the right. For example: Select on the left: ‘Check Slip’ and on the right select ‘Check’

Repeat this process for each template you plan to use within the software. It is important to make sure that you have done this step for all templates as this will allow you to proceed to the next step of Printing Mapping.

While on the same screen select the ‘Printer Mapping’ tab. This tab will show all your available printers and allows you to map what template should be printed to what printer(s).

Next, highlight each template on the left and choose what printers you wish to have this template printer too. For example: Check Slip is highlighted on the left and the specific Check Printer is selected on the right. Meaning any time checks are printed they will be printed to that printer only.

Now depending on how many printers and or warehouses/locations your business has, certain templates could be mapped to multiple printers. For example: PT (Pick Ticket)/Shipper is selected on the left. Since I have multiple locations I will select each applicable warehouse printer. By selecting all applicable printers on the right when a pick ticket is triggered to print it will automatically select the specific printer for that particular warehouse.

Repeat this process for all templates. These configurations can be changed and updated at any time.

Once the printer mapping is complete the third tab is ‘Customize’. This tab allows you to add specific logos to certain templates. This is helpful if you have multiple locations or different business entities that would require different company branding.

To add a logo, select the applicable template on the left, and on the Customize tab select ‘Set Logo’

Next, upload or paste a copy of the logo.

Next select ‘Accept’ to save the logo.

Once you’ve made your edits select ‘Update’ to save your changes for each template change.
Document Types

The final step to successfully set up your printers and configure your print templates is within the ‘Document Types’ tab. As you recall in the ‘Print Templates’ tab within the Administrator settings you had to select each print template and map it to a specific document type. The ‘Document Types’ tab allows you to choose system defaults in the event of printer issues, as well as how many copies should be printed, as additional settings.

On the left go through and select each document type. If you wish to make a change to the settings below, select edit.

During this process you need to make sure that the correct template is selected, i.e. AR Receipt document type is selected and the template selected is AR Receipt.

Next, you will select a “default printer” for each document. This will set a specific default printer for each template, but it also allows you to set a specific printer to print to in the event there are printer issues.

Finally, you will select how many copies you want to print when this template is triggered to print. For example, you may want to have 2 receipts printed (1 for the customer and 1 for your records.)
Now, the majority of the document types have the same settings as listed above, however, there are certain document types listed that have additional settings that can be configured. For example: when the Receipt document type is selected it will allow you to choose what information you want inventory information printed on the template. See the screenshot below.
- There are four options you can choose from to tweak what sales/inventory information is listed on the specific document. These are listed under the **NOTE:** section.

Show pertinent only - This means the receipt template will only show all “in stock” items.

Show pertinent and backorders - This means the receipt template will show “in stock” and out of stock “ backorder items” (Most commonly chosen)

Show all - This will show all items “ in stock”, “back ordered” and any line listing.

Show non-inventory items. - This means in conjunction with the 3 options above you can select to also show “non-inventory” details such as labor, or special service fees your business may have.
NOTE: If you have multiple warehouses/locations you will need to add/edit or create a specific warehouse for your document type.

To add a new printer to the document type, highlight the document type, then select ‘New” and fill the rule setting below:

Warehouse - Choose a specific warehouse or select “all” if all warehouses apply, i.e. Pick Ticket.

Template - Choose the template from the drop-down, this is typically the same as the document type.

Printer - Choose the printer that you want the default system printer to be in case of printer issues.

Account - This is if you have specific customer account templates being used.

Once the rule settings are completed select ‘Add’ to save your changes.
Printer configuration and mapping are now complete and can be updated at any time.
Additional Printing Options
This section below will go through additional printing options available to you while using the Savance Enterprise software.
General User Printer Settings

The section above goes into detail about company-wide settings, however, there are some User-specific printer settings you can personally configure to override the printer settings above.

From the top navigation go to Settings> General Settings

Next, select the ‘Printing’ tab

These settings allow a specific user to select different printer settings for the following document types:

PT (pick ticket)
-
Invoice
-
Receipt
-
RMA Receipt
-
AR Receipt
-
-
For each document type, you can choose a printer from the drop-down.

Instead of choosing a printer that is connected to that specific PC, you can alternatively choose a server printer.

NOTE: Again, these are user-specific settings and will override what is configured company-wide.
Local PC Printing

In addition to using the defaulted and user-specific printing configuration as explained in the sections above you also have the option to print certain documents to your local network printer (This is a network printer that is selected for your computer locally within the Printers & Scanners settings on your computer.

Using this printing option is useful when you want to print a document to the printer nearest to you (network printer) vs. the printer that is configured within the settings in the software. For example, you take a sales call at your desk and you want to print that order at your local network printer vs. the system configured one.
Local PC Printing - How To
While in a quote/order, RFQ/PO, RMA/RTV you can choose to print the template while it’s on your screen. To do this you can do the following two options:

Option 1 - While viewing the order you can use the left navigation menu and choose ‘Print’.

Once selected you will get another prompt. Select ‘Yes’ to ‘Print this Order’

You then are prompted to choose which print template you would like to use. This is helpful if you have special templates i.e. Pre-Pick Ticket that requires you to print a copy of the order, po etc without converting the order.

This Print Format prompt, allows you to again choose the template, adjust the number of copies, and if you want to print using the system configuration or by unchecking this option your document will be printed to your local printer.

To view the success of your printing job, while in the order you can go to the Dispatch tab to view the printing details and status.

Option 2 - While viewing the order go to ‘Order’ from the upper navigation to view the options.

From here select ‘Print’ (or while in the order you can use the shortcut Ctrl+P) to get the printing prompt.

Once selected you will get another prompt. Select ‘Yes’ to ‘Print this Order’

Changing Default Printer While in a Quote
While in a new, non-converted quote, RFQ, RMA/RTV.

Go to the Dispatch tab to change where the print template or pick ticket gets printed. NOTE: This is per transaction and does not save as a setting.

You also have the option here to not print a PT (pick ticket) as well.

Just select the new printer from the drop-downs.

Once the transaction is converted it will use these options to print the document(s)
